Privacy Policy

Last updated 29 September 2026

This policy explains how A.C.N. 636 443 804 Pty Ltd, trading as Centient (ABN 65 636 443 804) (“Centient”, “we”, “us”) handles personal information, in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

The short version. Centient runs on your computer. Your books — invoices, customers, payments, payroll — stay on your machine, not in our cloud. The only information that reaches us is what you send directly (like the email you buy a licence with) and, when you choose to use certain features, data passed to the services that power them. We don’t sell your information.

1Information that stays on your device

The business records you create and manage in the App — your accounts, contacts, quotes, invoices, payments, payroll, attachments, and so on — are stored locally on your own computer. We don’t collect them, can’t see them, and don’t hold a copy on our servers. Keeping that device secure and backed up is up to you.

2Information you give us

  • Buying a licence. When you purchase, our payment provider (Stripe) processes the payment and we receive your email address and a record of the purchase so we can issue and support your licence. We don’t receive or store your full card details.
  • Early access / mailing list. If you submit your email to hear about the product, we store that email until you ask us to remove it.
  • Feedback and support. If you send feedback or contact us, we receive what you choose to send (which may include a message, screenshots, or files you attach) so we can respond.

3Information shared with services that power features

Some features work by sending data to third-party services. This happens only when you use the relevant feature. The main ones:

  • AI assistant and cloud AI features. When you use the AI assistant (or an optional cloud feature such as cloud document reading), the content needed to fulfil your request — your message and the relevant business context, or a document you’re processing — is sent to our AI provider (by default, Anthropic) to generate a response. Where an on-device option is available, that data stays local.
  • Business and address lookups. When you look up a business or address — for example to verify an ABN or autocomplete an address — the search term you enter (such as a business name, ABN, or address) is sent to our lookup service and the Australian Business Register / address provider.
  • Payments. Stripe processes licence payments under its own privacy policy.
  • Bank feeds (optional). If you connect a bank feed, transaction data flows from your bank through the feed provider (for example via Australia’s Consumer Data Right) according to the consent you give. You choose whether to connect this.
  • Email (optional). If you connect a mailbox so the App can pull in supplier invoices, the App accesses that mailbox to read the relevant messages. Your email credentials are stored on your device.
  • The phone app. The Centient phone app (iPhone and Android) talks straight to the Centient desktop it’s paired with, over your own Wi‑Fi. The timesheets, receipts, vehicle logs and personal details you enter on the phone go to that desktop, not to us. Two features reach our servers: when you pick a super fund, the name you type is sent to our fund search; and when you scan a business card, the photo is sent to our card reader, which passes it to our AI provider (xAI) to read the contact details. The app asks before the first card goes. We don’t keep the photo after it’s read. The app has no advertising, analytics or tracking.

These providers handle data under their own terms and privacy policies. We share only what the feature needs.

4Public business information

To help you identify the businesses you deal with, Centient keeps a register of Australian businesses built from public sources: the Australian Business Register, businesses’ own websites, and public Facebook Pages. From a Facebook Page we use only its public About details — the Page name, link, category, location, website and phone number. We don’t collect posts, comments, photos, followers or any information about individual Facebook users, and we don’t publish anything to Facebook.

We use these details only to match and fill in business contacts inside Centient. We don’t sell them or use them for advertising.

Removing a business’s details. A business, or its owner, can ask us to delete the details we hold about it — including anything taken from its Facebook Page — by emailing [email protected] with the business name or ABN. We’ll delete them within 30 days and confirm by email.

5The website

Our website is deliberately lightweight. It loads fonts and styling from content-delivery networks (Google Fonts and a Tailwind CDN), which means your browser makes requests to those providers. We don’t run third-party advertising or behavioural-tracking on the Site. The only personal information the Site collects is what you submit through a form.

6How we use information

  • to provide, support, and improve the App and Site;
  • to process your purchase and issue your licence;
  • to respond to your feedback or support requests;
  • to send you product updates if you asked to hear from us (you can opt out at any time); and
  • to meet our legal obligations.

We don’t sell your personal information, and we don’t use your business records for advertising.

7Overseas handling

Some of the providers above (for example our AI provider, our payment processor, and Cloudflare, which carries traffic to our servers) are located, or process data, outside Australia, including in the United States. Where that happens, your information may be handled overseas to deliver the feature you’ve used.

8Storage and security

We hold the limited information we do receive (such as licence and contact details) on infrastructure we control, and we take reasonable steps to protect it from misuse, loss, and unauthorised access. No system is perfectly secure, and the security of the data on your own device — which is where your books live — depends on how you secure that device.

9Your rights

You can ask us to access or correct the personal information we hold about you, to remove your email from our list, or to delete the details we hold about your business (see section 4). To make a request, or to raise a privacy concern, email [email protected]. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10Retention

We keep the information we receive only as long as we need it for the purposes above or as the law requires — for example, we keep purchase records for our tax and accounting obligations, and we keep mailing-list emails until you unsubscribe or ask us to delete them. Data on your own device is retained, or deleted, by you.

11Children

Centient is a business tool and isn’t directed at children. We don’t knowingly collect personal information from anyone under 16.

12Changes to this policy

We may update this policy from time to time. We’ll post the current version here and update the date above; material changes will be notified by reasonable means.
